Meeting countdown for Mac

Know how long
you have.

Event Horizon counts down to your next meeting and lists the tasks that fit before it. Before the meeting starts, you leave yourself a note on where you stopped. When it ends, the task is right there with your note.

Where was I?

Twenty-five minutes before a call doesn’t feel like enough time to start anything, so it goes to email. Or you do start something, look up, and you’re three minutes late. Then the call ends and whatever you were in the middle of is gone. Event Horizon puts the countdown where you can see it and holds your place while you’re in the meeting.

From one meeting
to the next

  • The countdown

A ring in the window shows the time until your next meeting, and it empties over the last hour. You can also keep the countdown in the menu bar, or as a thin bar along the edge of the screen.

  • What fits

Give each task a rough estimate. Anything short enough to finish before the meeting goes to the top of the list.

  • Set aside, handed back

Two minutes out (or however many you choose), Event Horizon opens a note on the task you’re working on so you can write down where you stopped. The task is set aside when the meeting starts. When it ends, the task comes back with your note on it.

A few more things

Join the call

When a meeting has a call link, the Join button in the window and in the menu bar opens it. Event Horizon finds links for Zoom, Google Meet, Teams, FaceTime, Webex, and a few others. While Event Horizon is the app in front, ⌘⇧J (Join Next Meeting, in the Task menu) does the same thing.

Quick add

⌥⌘E brings the window up with the cursor in the task field. Press it again and the window goes away.

A chime, a voice, or nothing

The warning can be a chime or a spoken line like “Design review starts in 2 minutes.” It can also be both, or silent if you’re already on a call. The voice is one of the system voices on your Mac.

Which meetings count

Pick the calendars that count down and the ones that only show in the agenda. Declined and canceled events don’t count, and you can mark a single meeting as one that won’t interrupt your work. If a meeting wraps up early, end it early from the timeline and the countdown moves on.

Meetings are where I lose the most time, mostly in the twenty minutes before one and the five minutes after. Event Horizon started as a countdown I could see without looking for it. The note came later, after too many calls that ended with me staring at the screen trying to remember what I’d been doing.

Support

Something not working the way you expected? Email me. It comes straight to me.

It helps to include your Mac model, your macOS version, and the Event Horizon version. The version is in About Event Horizon, under the Event Horizon menu.

Is there a free trial?

Yes. Everything works for 14 days. After that, a one-time purchase keeps it working, and there’s no subscription.

Does it change my calendar?

No. Event Horizon reads your events so it can count down to them. It never adds, edits, or deletes anything. Ending a meeting early or marking one as not interrupting only changes what Event Horizon shows.

Which calendars work?

Any calendar that shows up in the Calendar app on your Mac, including iCloud, Google, and Exchange accounts you’ve added there.

Is it made for ADHD?

That’s who I had in mind. Losing track of time, and losing your place after an interruption, are the two problems it’s built around. You don’t need a diagnosis to use it.

Does anything leave my Mac?

No. There’s no account and no analytics, and Event Horizon doesn’t connect to the internet. Your tasks and notes stay on your Mac. Joining a call opens its link in your browser or the meeting app, the same as clicking it in Calendar.

Event Horizon says it needs calendar access.

Open System Settings, then Privacy & Security, then Calendars, and turn on Event Horizon.

A meeting isn’t counting down.

In Event Horizon’s Settings, open the Calendars tab and check that Countdown is on for that meeting’s calendar. All-day events don’t count down, and neither do events you declined, canceled ones, or ones marked free.

⌥⌘E doesn’t do anything.

Another app is probably using it. The General tab in Event Horizon’s Settings says so next to the shortcut.
